How to Compare HVAC Quotes

Two totals are not comparable until the proposals describe the same equipment, installation work, setup and responsibility. Put the scope on one page first.

Make every quote describe the same job

Start with the written proposal, not the monthly payment or headline total. One quote may include work that another leaves open. Mark each item as included, optional, excluded or unclear.

Identify the exact equipment

Write down the model numbers, capacity, efficiency rating and system type. Ask how the equipment was sized and whether the indoor and outdoor components are a matched system. A brand name or tonnage alone does not describe the full setup.

Compare the installation scope

Check removal, access, equipment pad or supports, line set, drain, electrical work, controls and any duct changes. If the property is a condo or row house, the proposal should also make access and equipment location clear.

Ask how the system will be set up and checked

ENERGY STAR's bid checklist calls out airflow, refrigerant, matched equipment and installation records. Ask what will be measured at startup and what documentation you receive. The answer belongs in the proposal, not only in a conversation.

Separate equipment and labor coverage

Write down the equipment warranty, labor warranty, registration steps, exclusions and who handles a claim. Do not assume two proposals use the same terms because the equipment brand is the same.

Resolve every blank before choosing

Send the same short questions to each contractor. Once the equipment, scope, setup and coverage are clear, the totals start to mean something. A lower total may be the better quote, but only after you know it buys the same job.
